Club Constitution

 

TITLE.

The Club shall be called Millbrook YBC Southampton hereafter to be referred to as “the Club” and shall be affiliated to the National Association of Youth Bowling Clubs (known as N.A.Y.B.C. www.naybc.org ) who is a sub-committee of the British Tenpin Bowling Association (known as B.T.B.A www.btba.org.uk )

 

 

OBJECTS.

To foster and promote the sport of JUNIOR TENPIN BOWLING at all levels, providing opportunities for recreation and competition.

The Club encourages the following:

MEMBERSHIP.

The following are eligible for membership:

· All juniors must be members of the B.T.BA., and have paid their annual subscriptions and have membership cards. Juniors joining through a junior sanctioned league are given a concession of 50% of the adult fee.

· Junior members are under the age of 19 years at the end of the bowling year, namely 31st August.

 

The Club membership is currently free per year and is reviewed annually by Committee.

The Treasurer prior to the 1st of September will collect both the Club and B.T.B.A. membership fees as appropriate.

 

DISCIPLINE, APPEALS & EXPULSION OF MEMBERS.

All concerns, allegations or reports of inappropriate behaviour/poor practice/abuse that contravenes the clubs policies and codes of practice will be recorded and responded to swiftly and appropriately in accordance with the clubs disciplinary procedure.  This applies to existing and new members.

                 All complaints regarding the behaviour of members should be presented in writing to the Secretary.

                 The disciplinary sub-committee will meet to hear complaints within 7 days of a complaint being logged.

                The sub-committee has the delegated power to take appropriate disciplinary action including the refusal                  or termination of membership.

The outcome of a disciplinary hearing will be communicated in writing within 7 days of the hearing.

There will be a right of appeal to the Committee following disciplinary action being announced and appeals should be submitted in writing within 10 days.

The Committee will consider the appeal within 28 days of its receipt by the Secretary.  The decision of the Committee will be communicated in writing within 3 days.

 

Should any member act in an inappropriate manner or decline to abide by the rules then the B.T.B.A. has a prescribed Disciplinary Procedure which MUST be followed. A copy of the procedure is available to view on request from one of our committee members.

 

 

OFFICERS.

The Club must have four officers, all of whom must be current members of the B.T.B.A. and hold a current valid licence. They are Chairman, Vice Chairman, Secretary and Treasurer. The posts of Secretary and Treasurer can be the same person.

 

 

ELECTION OF OFFICERS.

· The Officers shall be elected at the Annual General Meeting of the Club, by the members of the club.

· The Officers are elected for a period of one year, but may be re-elected to the same office the following year.

· Should vacancies occur then appointments may be made by the remaining officers allowing individuals to hold caretaker positions pending the next AGM.

 

 

 

GENERAL COMMITTEE.

· The committee shall be the four officers, plus any further persons who the officers feel will benefit the club by being on the working committee, such as Fund Raisers, Tournament Organisers etc.

         The duties of the General Committee shall be:

· To control the affairs of the Club on behalf of the Members.

· To keep accurate accounts of the finances of the Club through the Treasurer. These should be          available for reasonable inspection by members and should be audited before every AGM. The          Club shall maintain a bank current account and the Treasurer and Chairperson are authorised          signatures.

 

GENERAL MEETINGS.

· The AGM of the Club shall be held not later than the end of September each year.

· 21 Days notice should be given to each member in writing for attendance at the AGM. Members must advise the Secretary in writing of any business to be moved at the AGM at least 14 days before the meeting. The Secretary shall produce an agenda for the meeting at least 7 days before the meeting.

· Confirm the minutes of the previous AGM and any General Meetings held since the last AGM.

· Receive the audited accounts for the year from the Treasurer.

· Receive the annual report of the committee from the Secretary.

· Elect the officers of the Club and other General Committee Members.

· Transact such other business received in writing by the Secretary from Members.

· Special General Meetings may be convened by the General Committee or on receipt by the Secretary of a request in writing.

· Nomination of candidates for election of Officers shall be made in writing to the Secretary at least 14 days in advance of the AGM date. Nominations must be made in writing and be seconded by another member of the Club.

· Decisions can be taken by a vote by the members present. In the event of equal votes, the Chairperson shall be entitled to an additional casting vote.

· All members shall be entitled to one vote at General Meetings.

 

ALTERATIONS TO THE CONSTITUTION.

Any proposed alterations to the Club constitution may only be considered at an AGM or Special general meeting, convened with the required written notice to the proposal. Any alteration or amendment must be proposed by a Full member of the Club and seconded by another Full member. Such alterations shall be passed if supported by not less than two thirds of those Full Members present at the meeting.

 

DISSOLUTION.

· If at any General Meeting of the Club a resolution be passed calling for the dissolution of the Club, the Secretary shall immediately convene a Special General meeting of the Club to be held not less than one month thereafter to discuss and vote on the resolution.

· If at the Special General Meeting the resolution is carried by at least two thirds of the full members present at the meeting, the General Committee shall thereupon or at such date as shall have been specified in the resolution, proceed to realise the assets of the Club and discharge all debts and liabilities of the Club.

· After discharging all assets and liabilities of the Club, the remaining assets shall not be paid or distributed amongst the full members of the club, but shall be given or transferred to some other charitable voluntary organisation in Ten Pin Bowling.

 

CHILD PROTECTION POLICY.  

· All of our Licensed Instructors and officials follow the guidelines set out in the BTBA’s child          protection booklet. This booklet is available to view on request.

· The nominated person will deal with the situation in the following manner. He/She will record all necessary information on a document called CPP Help Request. He/She will then make a judgement on whom to call, this could include:
